Week 5 / Third Term

Sending and Receiving Emails

Curriculum outline

Lesson objectives

By the end of the week, learners should be able to:

  1. Send an email to a named recipient and verify the sent copy.
  2. Receive an email and read it carefully before responding.
  3. Attach a small file to an email and confirm the attachment opens.
  4. Describe how email travels through a server to reach the recipient.
  5. State why spam filters protect learners.

Key vocabulary

  • Sent copy: the record of outgoing messages stored by the server.
  • Recipient: the person the message is addressed to.
  • Attachment: a file included with an email message.
  • Server: the mail server that routes messages between users.
  • Spam filter: software that blocks unsolicited messages.
  • Read receipt: confirmation that the recipient opened the message.
  • Delivered: the status showing the message reached the server.

Common misconceptions

  • "Sending an email means it arrives immediately." Delivery takes seconds to minutes depending on server load.
  • "Attachments are automatically saved." The recipient must download the attachment manually.
  • "Spam is harmless junk." Spam often carries phishing links disguised as useful offers.

Teacher activities

  1. Starter: display a real spam email and ask whether a learner should click anything inside it.
  2. Demonstrate composing, sending, attaching a file and verifying the sent copy.
  3. Show receiving an email and reading it before replying.
  4. Trace an email from sender to receiver through a simplified mail server diagram.
  5. Explain spam filters and show a blocked spam example.
  6. Close with the sending task and exit question about attachment handling.

Student activities

  1. Answer the starter and state what a learner should avoid doing in the spam email.
  2. Send an email to a named recipient and verify the sent copy.
  3. Receive an email, read it carefully and reply thoughtfully.
  4. Attach a small file to the email and confirm the attachment opens on sender and recipient.
  5. Describe how email travels through a server to reach the recipient in one paragraph.
  6. Answer the exit question in one sentence about attachment handling.

Practical / learning evidence

A sent email with verified sent copy, a received and replied email pair, an attached file confirmation, and a one-paragraph email travel trace. Submit all four items for marking.

Resources and preparation

Computers with an email client, sample files, a sample spam email and a mail server diagram template. Keep the spam example out of learner inboxes; monitor attachments for personal content. Disable Caps Lock before typing.

Assessment for learning

Inspect the sent copy for correct recipient and verification. Check the reply for careful reading and thoughtful content. Verify the attached file opens correctly on both sides. Mark the travel trace for correct server routing. Flag any learner who treats spam as harmless.

Inclusion and homework

Provide the email templates with placeholder lines for learners who need scaffolding. Allow extra time on attachments for learners with slow devices. Extend confident learners with three attachments and a CC conversation. Homework: trace one email from one teacher to another and describe how it travelled.
